Five Xero setup tips for tidy ledgers

A tidy Xero file is mostly about a few decisions made early. Get these right and month-end becomes a quick review rather than a clean-up job.

1. Keep the chart of accounts lean

Fewer, well-named accounts beat a long list nobody understands. Group by how you actually read your numbers, and archive anything unused.

2. Set up bank rules carefully

Bank rules save time, but a bad rule quietly miscodes transactions for months. Write rules only for genuinely repeating, unambiguous payments and review them each quarter.

3. Use tracking categories sparingly

One or two tracking categories (for example department or location) are powerful. More than that and reporting gets fragile.

4. Turn on the right tax defaults

Set the correct VAT scheme and default rates on contacts and accounts so day-to-day coding needs no thought.

5. Reconcile weekly, not monthly

Little and often keeps the file accurate and means queries are answered while they are still fresh.
